By creating an account or using Accountable Tracker, you agree to these Terms of Service. If you do not agree, do not use the service. These terms apply to all users, including individual subscribers and CPA firm accounts.
Accountable Tracker is a web-based application operated by Trident Visual LLC that allows business owners and employees to track, document, and export expense reimbursement records consistent with IRS accountable plan guidelines. The service is provided "as is" and may be updated, changed, or discontinued at any time.
You must be at least 18 years old to use this service. You are responsible for maintaining the security of your account and may not share credentials or allow unauthorized access. Notify us immediately at support@accountabletracker.com if you suspect unauthorized access.
If you are unsatisfied within the first 30 days after upgrading from a free trial to a paid plan, email support@accountabletracker.com for a full refund — no questions asked. Refund requests after 30 days of paid use are handled on a case-by-case basis.
You retain ownership of all data you enter. By using the service, you grant Trident Visual LLC a limited license to store and process that data solely to provide the service. We do not sell your data or use it for advertising. See our Privacy Policy for full details.
CPA firm accounts may invite clients to link their accounts to the firm's portal. By accepting an invitation, clients consent to their CPA having read access to their expense reports and PDF exports. CPA users agree to:
You agree not to use the service for any unlawful purpose, to facilitate tax fraud, to reverse engineer or copy the application, to interfere with the service's infrastructure, or to misrepresent your identity. We reserve the right to suspend or terminate accounts that violate these terms without refund.
Accountable Tracker is provided "as is" without warranty of any kind. We do not guarantee the service will be error-free or uninterrupted, nor that outputs will be accepted by any tax authority. You are responsible for verifying all data entered and exported.
To the fullest extent permitted by law, Trident Visual LLC shall not be liable for any indirect, incidental, or consequential damages arising from your use of the service, including tax penalties, audit outcomes, or data loss. Our total liability for any claim shall not exceed the amount you paid us in the 3 months prior to the claim.
These terms are governed by the laws of the State of California. Any disputes shall be resolved in the courts of Los Angeles County, California.
We will notify active subscribers of material changes by email at least 14 days before they take effect. Continued use after that date constitutes acceptance of the updated terms.
